Location: Washington Township, NJ
Status: Full Time
Days: Monday through Friday
Hours: 40 Hours per week
JOB SUMMARY
The Surgery Scheduler makes and schedules surgery
appointments for patients in an efficient and timely
manner.
ESSENTIAL DUTIES (This list may not include all duties
assigned)
1. Schedules and coordinate patients’ surgical
appointments. Handle schedules as needed. Relay
necessary messages to staff.
2. Greet and register patients in a prompt, pleasant,
and helpfu! l manner. Verify necessary information and
records in the ! medical chart including insurance
coverage.
3. Maintain and update current information on
physician’s surgery schedules.
4. Answer telephones, screen calls, take messages, and
provide information.
5. Answer questions regarding patient’s surgical
appointments and testing.
6. Assemble patient’s surgical charts and update
patient profiles.
7. Schedule ESI and CT scans, meylo grams, and other
non-surgical related diagnostic studies. Verify
benefits and precert all procedures. Maintains paper
and computerized logging system.
8. Verify benefits and coverage requiring some
knowledge of third party billing, insurance
regulations and ICD-9 and CPT coding.
9. Generate detailed, more personalized surgery list
which allows rotations for patients that have
different needs (i.e. specific anesthesiologist,
STAT labs to be drawn upon admission, latex
allergies, etc.)
10. Scan all reservation, pati! ent forms, and consent
forms. Maintain an additional copy of all consents.
11. Call representative for specific components if
necessary for surgery.
12. Check and distribute faxes.
13. Complete miscellaneous paperwork.
14. Call doctors operating schedule into the operating
room.
15. Call in any specific requests.
16. Call appointment secretaries for orthotic
appointments.
17. Assist in finding and securing accommodations for
out of town patients and/or families.
18. Assist in arranging transportation when necessary.
19. Obtain clinical information (lab/x-ray/reports,
etc.) on patients.
20. Review physicians schedules bi-weekly and weekly.
Adjust surgery schedules and move patients as
needed. Update surgery grids on computer constantly.
Notify other schedules of all changes.
21. Fax clearance/dental letters and all other
relevant info to chart room.
22. Direct Admits Call 215-955-6464 sch! edule, obtain
room and call insurance to verify benefits and
au! thorize admission, etc.
23. Add on emergency cases or in-patients to surgeon’s
schedule.
24. Review each chart/patient to ensure everything has
been completed prior to surgery date (dental letter,
clearance, PAT’s, blood, precert is completed and
consent is signed and the hospital has all
information.
25. Review surgery daily.
26. Ability to schedule surgical cases at Will’s
Surgical Center, Bucks Specialty Hospital, Thomas
Jefferson University Hospital, Methodist, Nazareth,
Atlantic City Medical Center, Summit Surgical
Center, and other surgical centers as scheduled.
27. May perform other duties as assigned.
WORKING CONDITIONS

  • ENVIRONMENTAL: Work performed in office environment.
  • VISION: Must be able to see 20/20 vision with
correction.
  • COMMUNICATION: Must be able to read, write, and
communicate English language. Involves frequent
contact with staff! and patients. Contact may involve
dealing with angry or upset clients.
  • PHYSICAL: Work may require sitting for long periods
of time; also stooping, bending, and stretching.
Occasional lifting of files or paper weighing 10-20
pounds. Requires manual dexterity sufficient to
operate a keyboard, telephone, and other office
equipment as necessary. It is necessary to view and
type on computer screens for extended periods.
MINIMUM QUALIFICATIONS
EDUCATION: High school diploma or equivalent required.
LICENSURE: None
EXPERIENCE: Two year of work experience in a medical
office setting with medical receptionist or surgical
scheduling experience. Knowledge of medical terminology
desirable. Word processing and computer experience.
